01 — A typical day

Three small failures that add up.

What accounting and bookkeeping owners tell us goes wrong in an ordinary week.

Month-end takes days, and I’m still chasing receipts.

The close waits on documents that arrive late, so the pack lands after the numbers are useful.

See the documented filing case

I don’t know where my money went until the accountant asks.

Categories are guessed at month-end instead of recorded when the transaction happens.

See the recordkeeping finding

Mistakes show up at tax time, when they’re expensive to fix.

A missing receipt or a duplicate payment becomes a correction, a penalty or a late filing.

02 — What the helper does

From your records to a decision you own.

The agent reads the bank feed, the invoices and the receipts already in your system. It matches what agrees and explains what does not.

Every exception gets one fixed reason and the evidence behind it: missing document, duplicate, unknown supplier, amount mismatch or new vendor.

A licensed person reviews the pack and posts the batch. The agent prepares the work; it never signs it off or files anything.

8 steps · 2 decisions you own

Text version of the flow
  1. 1. Collect transactions — Every line, read-only.
  2. 2. Match and categorize — Document, amount, date, history.
  3. 3. Chase missing items — One clear request.
  4. 4. Flag exceptions — Fixed reasons, with evidence. Human checkpoint: Exception approval.
  5. 5. Prepare the close pack — The month, ready to review.
  6. 6. Accountant review — A licensed person checks. Human checkpoint: Accountant review and sign-off.
  7. 7. Post approved entries — Only after sign-off.
  8. 8. Monthly summary — What changed and why.

Simulated example

Northline Studio

Month-end close · day 2

1 / 6

A five-person online service company with 40 September transactions. The agent prepares the close; a licensed accountant reviews. Every line below is simulated.

  1. 40 transactions read. 36 match an invoice on amount, date and supplier. Four need a person: two missing receipts, one duplicate-looking payment and one £2,400 payment to a new supplier.

03 — What you decide

The helper prepares. You decide.

The agent prepares. A licensed person reviews and signs off.

  • A licensed professional signs off

Your accountant reviews the close pack and posts the batch. The agent cannot approve its own work.

  • You set the approval threshold

Any entry above the amount you choose waits for a person, whatever its confidence.

  • Exceptions go to a person

Unusual payments, new vendors and tax-related lines leave the automatic path.

  • Read-only, and you can pause

Bank feeds are read-only, entries are drafts, and one switch pauses a client’s books.

Without your approval · The agent prepares your books. It does not give tax, legal, or investment advice, and it does not file returns.

04 — What changes when a safeguard is missing

Documented cases, not scare stories.

One documented filing failure and two labelled findings. No verified case of an accounting error caused by unchecked automation met the sourcing bar, so none is shown.

A late filing kept getting later

A company’s accounts were already late, then rejected four times. The adjudicator found document examiners made errors in six of seven sets and cut the penalty back; the extra £750 had accrued while the filing was stuck.

What the helper would do differently

The close pack carries a pre-submission checklist and a log of every rejection, so a missing signature or repeated rejection becomes an exception the accountant sees.

£750

penalty increase after four rejections

Manual entry still eats the week

630 US businesses with 10–99 employees reported spending 25 hours a week on manual data entry or reconciling data across apps. It is whole-business work, not bookkeeping alone, and it is self-reported.

What the helper would do differently

Matching and receipt chasing move to the agent; the reviewer sees exceptions instead of rekeying every line.

Professional warning

The professional body names the accuracy risk

ACCA warns that generative models “are not reliably accurate, and are unable to recognise the truth or objective facts”. The page treats that as a design constraint, not a disclaimer.

What the helper would do differently

Nothing posts on a model’s confidence. Every exception has a reason and a licensed person approves the batch.

Warning

probabilistic models are not reliably accurate

05 — Your version

Four questions about your own week.

Keep your answers. They are the brief for the first version we would build for you.

  1. How many receipts and supplier invoices arrive in a normal month, and how many reach you missing a detail?

  2. Which parts of the close do you already do the same way every month?

  3. Who signs off the reconciled books today, and what do they check first?

  4. What would you rather never chase again: receipts, missing invoices, or a client asking where the numbers are?

How we calculated this

Routine work handled by the helper: 70% of the share you marked routine.

Time saved per item: 80% of the minutes you entered.

Monthly volume: weekly figures × 4.33; monthly figures used as entered.

Cost: hours saved × your staff cost per hour, in pounds as an illustration.

Reply time: routine items move within the hour while the helper runs. Complex work still waits for a person.
