Example · Gyms and fitness studiosRetention and win-back agent

The member who stops coming, noticed in week three

An agent that welcomes a new member, books the class, notices when visits stop, offers a real reason to come back — and never gets in the way of a cancellation.

01 — A typical day

Three small failures that add up.

What gyms and fitness studios owners tell us goes wrong in an ordinary week.

The quiet dropout

A member's visits taper off over six weeks. Nobody notices until the direct debit fails.

See the retention figures

A cancellation nobody can complete

Members are told they can cancel at the desk, then billed again. Regulators have taken action on exactly this.

Health questions answered by an app

“Should I train with this injury?” A friendly answer from a booking assistant is a claim the studio should never make.

02 — What the helper does

From your records to a decision you own.

The agent welcomes a new member, explains the induction, books the first class at the right level, and answers the practical questions — hours, parking, what to bring.

It watches attendance against a simple rule you set. When visits stop, it asks one question, offers a real option — a different class time, a held membership, a call with a coach — and then stops.

It never gives health or injury advice, never pressures anyone to stay, and never stands between a member and a cancellation.

6 steps · 2 decisions you own

Text version of the flow
  1. 1. Welcome the member — Induction, level, first class.
  2. 2. Book the class — Capacity and waitlist. Human checkpoint: A person handles health questions.
  3. 3. Watch attendance — A rule you set.
  4. 4. Ask one question — One message, no sequence.
  5. 5. Make leaving easy — A confirmed route. Human checkpoint: Cancellation needs no permission.
  6. 6. Report the month — Kept, lapsed, cancelled.

Foundry Strength, a 300-member studio

Member app and SMS · 18:05

1 / 6

A single-site strength studio with class booking and monthly memberships. Every message is simulated; no real member data is used.

  1. Foundry's member assistant. I can book classes and answer questions about your membership. Reply HUMAN for a coach or the front desk.

03 — What you decide

The helper prepares. You decide.

The agent books classes and notices absence. A coach handles the body.

  • Health is a person's call

Injury, pain and medical conditions go to a qualified coach or the member's clinician.

  • One check-in, then stop

A single question with two concrete options. Silence ends the exchange; no drip sequence.

  • Leaving is frictionless

A cancel request is actioned, dated and confirmed. The agent cannot delay, counter-offer or require a call.

  • You can pause it

Pause messaging for a member, a class or everyone; the studio's own channels take over.

Without your approval · No injury, pain, pregnancy or medication advice — and a cancellation is processed, confirmed and never argued with.

04 — What changes when a safeguard is missing

Documented cases, not scare stories.

Three enforcement actions with their sources. All three concern billing and cancellation, which is why this workflow has no retention script.

New York Sports Club

Dues charged while the gyms were closed

New York's Attorney General said the operators unlawfully charged monthly dues and used illegal cancellation practices during COVID-19 closures. The settlement provided restitution to affected consumers from a $250,000 bond.

What the helper would do differently

Billing is corrected when service is unavailable, and the agent confirms a cancellation with an effective date rather than keeping a charge alive.

Town Sports International

Cancelled, then billed again

DC's Attorney General alleged members were told they could cancel verbally at a club despite written terms requiring written notice, and were billed after trying to cancel. A 2016 settlement had already required refunds and clearer disclosures.

What the helper would do differently

There is one cancellation route, it works from the app, and it produces a written confirmation. No member is told to come in and sign something.

complaints after a prior settlement

No contract, and in-person cancellation only

New York's Attorney General said the Queens gym failed to provide written membership contracts and required in-person, written cancellation with 30 days' notice. After the lawsuit the gym agreed to change its policies, refund customers and pay a penalty.

What the helper would do differently

The agent states the terms that exist, in writing, at sign-up — and never adds a cancellation condition the member was not shown.

  • Week 3

Attendance rule fires; one question goes out with two real options.

  • Week 4

  • Week 6

A cancellation is confirmed with an effective date, in one reply.

05 — Your version

Four questions about your own week.

Keep your answers. They are the brief for the first version we would build for you.

  1. How many new members join in a month, and what do they ask in the first two weeks?

  2. How many visits in a row tell you someone has drifted away?

  3. What may an agent offer to bring someone back, and what needs your approval?

  4. What must happen the moment someone asks to cancel?

How we calculated this

Routine work handled by the helper: 70% of the share you marked routine.

Time saved per item: 80% of the minutes you entered.

Monthly volume: weekly figures × 4.33; monthly figures used as entered.

Cost: hours saved × your staff cost per hour, in pounds as an illustration.

Reply time: routine items move within the hour while the helper runs. Complex work still waits for a person.
