Example · Field service and tradesQuote follow-up and dispatch agent

The call you cannot take, answered at the van

An agent that answers the phone while you are under a sink, books the visit, chases the quote, and passes the job brief on with every safety step still attached.

01 — A typical day

Three small failures that add up.

What field service and trades owners tell us goes wrong in an ordinary week.

The call that rang out

You are on a roof, or under a boiler. The caller does not leave a message; they ring the next number on the list.

See the time picture

Quotes sent once, chased never

A quote goes out on Tuesday and is never mentioned again. The job goes to whoever followed up.

The safety note that got dropped

“Isolate the supply before you start” lives in your head. Written down badly, it is a hazard, not a note.

02 — What the helper does

From your records to a decision you own.

The agent answers the job line, asks the questions that decide the visit, and books it into the slots you have opened with the right engineer and duration.

It sends the quote from your price list, chases it once with a clear reason to reply, and books the work when the customer accepts.

It writes the job brief from the booking, including the safety and access notes you require. Any emergency, gas, electrical or safety question goes straight to a person.

6 steps · 2 decisions you own

Text version of the flow
  1. 1. Answer and qualify — What, where, how urgent.
  2. 2. Book the visit — Right engineer, right window.
  3. 3. Send the quote — From your price list. Human checkpoint: You approve the price list.
  4. 4. Chase once, then stop — One reminder, one reason.
  5. 5. Write the job brief — Access, isolation, hazards.
  6. 6. Pass emergencies to a person — Gas, smoke, shock, water. Human checkpoint: An engineer or you handles anything safety-critical.

One simulated example, step by step.

Simulated example

Mercer Plumbing & Heating, two vans

Job phone and SMS · 14:20

1 / 6

A two-van plumbing and heating firm. The agent answers the job line when both engineers are on site. Every message is simulated; no real customer data is used.

  1. Mercer Plumbing's assistant here — I can book a visit or take details. For a gas leak or flooding, say so and I'll put you through. Reply HUMAN for a person.

03 — What you decide

The helper prepares. You decide.

The agent answers the phone and writes the brief. The engineer does the job.

  • Fixed safety wording

Gas, smoke, shock and flooding trigger approved text, then a person — never a generated explanation.

  • Your price list

Quotes come from approved rates. Anything outside the list is quoted by you.

  • An engineer takes over

Fault diagnosis, parts and anything safety-critical belong to a qualified person.

  • You can pause it

Stop taking bookings for a day, a trade or the whole firm; the line diverts to voicemail.

Without your approval · It never diagnoses a fault, never talks anyone through a repair, and never rewords a safety instruction. Emergency wording is fixed text owned by you.

04 — What changes when a safeguard is missing

Documented cases, not scare stories.

Three OSHA citations, each with its release. They are safety failures, not software failures — which is exactly why the agent is kept away from the job itself.

K&D Plumbing

A confined space entered without a programme

During sewer-line work in Georgia, a worker entered a manhole and died after a fall and exposure to hydrogen sulfide. OSHA said the employer had no required confined-space entry programme and also cited trench-safety failures.

What the helper would do differently

Confined-space and trench work is never a job the agent can describe, price or dispatch. The brief carries the permit requirement, and the work is scheduled by a person.

Smith's Electrical

Live equipment, no lockout

An electrician guiding wires into an energised cabinet suffered severe arc-flash burns. OSHA cited the employer for requiring work on live equipment and for training and protective-equipment failures.

What the helper would do differently

Electrical work is booked, not briefed, by the agent. Isolation and lockout are a named step on the job sheet that the engineer confirms before starting.

Hyvac

Stored pressure nobody checked

A pipefitter installing an air-conditioning system was fatally injured by a pressurised HVAC piping system. OSHA said the employer had not verified the piping was free of stored pressure and had not trained workers on the hazard.

What the helper would do differently

The brief carries a zero-pressure verification step with a signature. The agent copies that step verbatim from your template and cannot remove or shorten it.

pipefitter killed by a pressurised system

05 — Your version

Four questions about your own week.

Keep your answers. They are the brief for the first version we would build for you.

  1. How many calls do you miss in a week because you are on a job?

  2. What do you need to know before you can price a visit, and what still needs a look?

  3. How many quotes go out in a month, and how many get a reply?

  4. Which safety steps must travel with the job brief, whoever does the work?

How we calculated this

Routine work handled by the helper: 70% of the share you marked routine.

Time saved per item: 80% of the minutes you entered.

Monthly volume: weekly figures × 4.33; monthly figures used as entered.

Cost: hours saved × your staff cost per hour, in pounds as an illustration.

Reply time: routine items move within the hour while the helper runs. Complex work still waits for a person.

Questions

The things people ask next.

No. It asks enough to book the right engineer and visit length. Diagnosis, parts and repair advice belong to a qualified person on site.
