The message sent from the chair, answered before the next client

An agent that answers booking messages between clients, fills a cancelled slot from the waitlist, asks for the patch test before a colour, and hands every reaction question to a person.

01 — A typical day

Three small failures that add up.

What hair and beauty salons owners tell us goes wrong in an ordinary week.

The booking message that waits until 20:00

Hands are in hair all day. The message is answered after close, and the client has booked the salon down the road.

See the no-show data

An empty chair at 14:00

A cancellation with no waitlist call is two hours of lost income and a stylist standing still.

A reaction question answered by the front desk

“Is this normal?” Nobody at the desk is qualified to answer it, and a reassurance is a risk.

02 — What the helper does

From your records to a decision you own.

The agent answers booking messages with the salon's real services, durations, prices and open slots, and takes the deposit where the salon requires one.

It asks the patch-test question before a colour appointment, sends the reminder the day before, and offers a cancelled slot to the waitlist in order with a short hold.

Any question about a reaction, an allergy, a skin condition or a product is routed to a named person. The agent never reassures, diagnoses or advises.

6 steps · 2 decisions you own

Text version of the flow
  1. 1. Read the request — Service, stylist, timing.
  2. 2. Ask the patch-test question — Before any colour. Human checkpoint: Patch tests are not negotiable.
  3. 3. Confirm the slot — Price, duration, deposit.
  4. 4. Fill a cancellation — Waitlist, in order.
  5. 5. Stop at skin and reactions — Itching, burning, reaction. Human checkpoint: A person handles reactions and allergies.
  6. 6. Report the week — Booked, filled, missed.

Marlowe & Fig, a four-chair salon

WhatsApp and SMS · 10:40

1 / 6

A four-chair salon with two colourists. The agent answers between clients. Every message is simulated; no real client data is used.

  1. Marlowe & Fig's booking assistant. I can book, change or cancel an appointment. For anything about a reaction or your skin, I'll pass you to a person.

03 — What you decide

The helper prepares. You decide.

The agent runs the diary. A person handles skin and reactions.

  • Patch tests first

The rule is enforced for every client, however long they have been coming. The agent cannot waive it.

  • Your prices and durations

Services, timings and deposits come from your list; the agent quotes the full price in the first reply.

  • A person takes over

Reactions, allergies, product questions and complaints go to a named person with the record.

  • You can pause it

Pause for a stylist, a day or the whole salon; messages fall back to your own inbox.

Without your approval · No allergy, skin or product advice — and no colour appointment without a recorded patch test inside your window.

04 — What changes when a safeguard is missing

Documented cases, not scare stories.

Three documented cases with their sources: a listing that was never authorised, a salon locked out of its own diary, and a reaction that followed a missing patch test.

Salonify listings

A salon listed without its consent

The BBC reported that Kintsugi Beauty and other businesses appeared on a booking site without their owners' consent; one listing carried an incorrect phone number, services, prices and opening times, and an expert said the booking and payment functions appeared broken.

What the helper would do differently

The salon's own record is the only source for services and prices, and the agent never sends a client to a third-party listing to book.

Ransomware wiped the appointment book

Hackers locked the salon group's database and threatened to delete it; the company paid a ransom. The system held appointments, client histories, wages and stock, and the appointment system was wiped, forcing staff to ask clients to confirm bookings again.

What the helper would do differently

Bookings are backed up daily and can be reconstructed without the supplier, and the salon keeps a way to reach tomorrow's clients if the diary is unreachable.

Dye applied without a patch test

A trainee applied dye without a patch test; the client suffered a severe allergic reaction with swelling and temporary loss of sight for five days, and won a reported £2,000 claim.

What the helper would do differently

The patch test is a booking condition, not a question. Without a recorded test inside the window, the agent books the test and holds the colour.

05 — Your version

Four questions about your own week.

Keep your answers. They are the brief for the first version we would build for you.

  1. How many booking messages arrive in a week, and how many come after hours?

  2. How often does a slot go empty because a client cancels late?

  3. Which services need a patch test first, and what is your rule?

  4. Who answers a question about a reaction, and how quickly?

How we calculated this

Routine work handled by the helper: 70% of the share you marked routine.

Time saved per item: 80% of the minutes you entered.

Monthly volume: weekly figures × 4.33; monthly figures used as entered.

Cost: hours saved × your staff cost per hour, in pounds as an illustration.

Reply time: routine items move within the hour while the helper runs. Complex work still waits for a person.
