Example · Education and tutoringEnrolment and session agent

The parent's enquiry, answered the same evening

An agent that answers enrolment questions, books the trial lesson, confirms the session and collects the fee — with every message to a guardian and every judgement about a learner left to a person.

01 — A typical day

Three small failures that add up.

What education and tutoring owners tell us goes wrong in an ordinary week.

Enquiries answered after the term starts

Parents ask in the evening, when the centre is closed. By the time anyone replies, the family has booked a trial elsewhere.

The price shown is not the price paid. Registration or booking fees appear at the last step, and the regulator calls that drip pricing.

Messages straight to a child

A general assistant answers whichever number replies. With a minor on the other end, that is a safeguarding failure before it is a service failure.

02 — What the helper does

From your records to a decision you own.

The agent answers enrolment questions from the centre's own information: subjects, levels, session lengths, fees and the slots that are genuinely open.

It books the trial lesson, confirms with the guardian, sends the joining details and takes payment through your provider when the centre requires it.

It never assesses a learner, never contacts a child directly, and never continues a conversation that suggests a safeguarding concern — those go to the named person immediately.

6 steps · 2 decisions you own

Text version of the flow
  1. 1. Read the enquiry — Subject, level, year group.
  2. 2. Answer from your information — Fees, format, slots.
  3. 3. Book the trial — A slot that exists.
  4. 4. Confirm with the guardian — One adult, one thread. Human checkpoint: A person handles safeguarding.
  5. 5. Leave assessment to the tutor — Progress, level, needs. Human checkpoint: A tutor assesses the learner.
  6. 6. Report the week — Booked, attended, unpaid.

Kestrel Learning, a six-tutor centre

Web form and SMS · 18:40

1 / 6

A tutoring centre for years 7–13. The agent answers evening enquiries and books trials. Every message is simulated; no real learner data is used.

  1. This is Kestrel Learning's assistant. I can answer questions about lessons and book a trial. I can't assess how a student is doing — a tutor does that. Reply HUMAN for a person.

03 — What you decide

The helper prepares. You decide.

The agent runs enrolment. Tutors teach and assess.

  • Guardian contact only

The agent writes to the adult on the record, and a message from a pupil's number is escalated instead of answered.

  • Safeguarding stops everything

Disclosures and distress trigger the centre's fixed signposting and an alert to the named lead, then the thread pauses.

  • A tutor assesses

Level, progress, needs and exam chances are tutor territory, answered with the enrolment context.

  • You can pause it

Pause enrolment for a subject, a tutor or the whole centre; the form falls back to your inbox.

Without your approval · Every message goes to a guardian on the enrolment record. No progress judgement, no diagnosis, no contact with a pupil's own number.

04 — What changes when a safeguard is missing

Documented cases, not scare stories.

Three regulator findings with their sources. None is a school or tutoring result; each sets a boundary this workflow keeps.

2024

First Step Education and Training

Promised support that was never delivered

Ofsted found poor teaching and oversight: some apprentices lacked the English and maths qualifications needed for their final exams, at least a third had not completed training within the allocated time, and learners with dyslexia were not adequately supported.

What the helper would do differently

The agent records what was promised and when, and flags a learner whose milestones have slipped to the person responsible — rather than reassuring the family that everything is on track.

1 in 3

learners had not finished in the allocated time

2017

Learndirect

Subcontractors nobody was watching

Ofsted rated the provider inadequate. The National Audit Office identified poor management of subcontractor performance, weak oversight of learner progress, and too little focus on apprenticeship training for small and medium employers.

What the helper would do differently

The workflow keeps one learner record per person with the tutor's own notes, so progress is visible without relying on a subcontractor's summary.

A booking fee revealed at the last step

The CMA found that more than 80,000 learners booking online were first shown prices that omitted a mandatory £3 fee, which appeared later in the booking process. The regulator ordered refunds and fined the owner.

What the helper would do differently

The agent quotes the full price on the first answer, including any registration or booking fee, and the booking journey is tested end to end before launch.

£3

mandatory fee added late, over 80,000 learners affected

The same week, two ways.

Drag the handle, or use the left and right arrow keys when it is focused.

Typical week, beforeTypical week, after
  • Mon

Nine evening enquiries; the centre replies on Wednesday.

  • Tue

Two trials booked twice, because the diary and the form disagree.

  • Wed

A parent asks whether their child is behind; an admin answers with a guess.

  • Thu

A reminder goes to a pupil's phone instead of the guardian's.

  • Mon 18:41

Evening enquiries answered with exact fees and open slots.

  • Tue

Trials booked from one diary; no double bookings.

  • Wed

Assessment questions wait in the tutor's queue, not the inbox.

  • Thu

Every message goes to the guardian on the enrolment record.

05 — Your version

Four questions about your own week.

Keep your answers. They are the brief for the first version we would build for you.

  1. How many enrolment enquiries arrive in a normal week, and which questions repeat?

  2. What decides whether a trial lesson can be booked, and who approves an exception?

  3. Who is allowed to message a guardian, and about what?

  4. What do you still want a person to decide about a learner?

How we calculated this

Routine work handled by the helper: 70% of the share you marked routine.

Time saved per item: 80% of the minutes you entered.

Monthly volume: weekly figures × 4.33; monthly figures used as entered.

Cost: hours saved × your staff cost per hour, in pounds as an illustration.

Reply time: routine items move within the hour while the helper runs. Complex work still waits for a person.
